Job Purpose – Summary
The role will involve providing high quality general back office Talent Management (HR) administration to the busy TM team in order to ensure the provision of an efficient and professional HR service to the organisation. The role is a pure administrative role focusing on data entry and will be on a part-time basis.
Key Responsibilities & Accountabilities
• Responsibility for all employees standard ‘data life cycle’ on the HR database (HR.Net).
• Maintain the HR database with new joiner information.
• Updating the HR database and internal time sheet system (Maconomy) with any extensions and producing the associated paperwork.
• Ensuring all letters and audit documentation is scanned into the employee’s electronic file.
• Producing standard letters such as probation letters and updating the HR database with any changes/amends to employee employment.
• Ensuring that any changes that are required to go to payroll are also inputted onto the monthly payroll changes sheet and that the relevant back-up is collated.
• Responding to external reference requests.
• Ensuring electronic and paper files are up to date and filed as per TM filing policy.
• Archive on an annual basis.
• Keeping the department fully stocked with stationary, letter head and envelopes.
• Follow the TMS calendar with important dates and deadlines.
• Professional, technical skills and previous experience required
• High volume data entry experience in a fast paced organisation (does not have to be sector specific).
• Efficient time management and exceptional attention to detail.
